      About Project Director (PD)

      Project Director manages your ongoing jobs by:

      • Sending you an alert when you are requested for new projects
      • Allowing you to claim new projects, including negotiating budgets and deadlines
      • Providing you with an easy way to track your Semantix jobs by PM, word count and deadlines
      • Letting you work on files using integrated tools such as TransStudio Online (TSO), our translation and editing CAT tool that allows you to easily deliver files.
      • What is Global Link Project Director?

        GlobalLink Project Director (PD) is designed as a user-friendly system to help streamline how you claim new project offers from Semantix as well as manage your ongoing tasks.

      • What can I access in Project Director?

        PD will be the central site that will:

        • Send you an alert for new projects
        • Allow you to claim new projects, including negotiating budgets and deadlines
        • Allow you to easily deliver your files
        • Provide you with an easy way to track your Semantix jobs by PM, word count and deadlines.
      • Will the transfer to PD involve any additional costs for me as vendor?

        PD is a web-based application, so you do not need to download or purchase any additional software. All you need to do is log in!

      • I already work with TransPerfect and have access to PD, do I need to do anything?

        If you are working with TransPerfect, you have access to TransPerfect's PD instance. You might even have access to more than one as different TransPerfect companies have different PDs. Semantix will have its own separate instance of PD, which you will be invited to.

      • Where are the servers for Semantix PD located?

        For privacy and GDPR reasons, Semantix' PD servers are based within the EU.

      • Which web browser should I use to access PD?

        PD is optimised for Google Chrome, and we recommend that you use Chrome as your web browser for the best PD experience. PD is also accessible using Internet Explorer, Firefox, and Safari. For easy access, bookmark the PD sites you use and remember your credentials.

      • How do I log in to PD?

        We will send you an email with a temporary password and instructions when it is time for you to log in to PD for the first time. You will log in using your email address, password and Multi-Factor Authentication (MFA). MFA is an extra security step for verifying your identity.

        • NOTE: if you are an agency, you will be required to use a username and password, instead of your email. Upon logging in, go to the “Log in with local account” screen.
      • How do I get the job offers in PD?

        Our Project Managers will send you a request from PD. When you are logged in, you can receive updates on screen as new jobs are available, parameters change, etc. You can also get the notifications via email. You can decide if/how/when you receive notifications. Please see the instructions to PD for how to change notification settings.

      • How can I claim a job?

        All new jobs available for you to claim will be in your AVAILABLE folder in PD. To view all job information and claim a job, select a submission, and click on the “Job Info” button in the top left corner.

      • What if I need to discuss the deadline or the price offered?

        In PD, you have a few choices for claiming a job. You may Accept, Negotiate (rate and/or deadline) or simply Decline. Clicking “Accept” means that you agree to the rate offered, deadline(s), and all project information included in the Job Info. Clicking “Decline” means that you do not want to work on a particular phase (or all phases) of the job. Clicking “Negotiate” means that you are interested in the job but would like to suggest a different rate and/or deadline for a particular phase for the PM to consider before agreeing to work on the job.

        • N.B. that not all jobs will be open for negotiation.
      • I have different price agreements with Semantix for different customers - which rate will you use in the job requests in PD?

        In PD, our PMs will make a budget and offer a flat rate for each and every project. This process is as new to them as it will be to you, so initially, please share your feedback with us.

        To their help, PMs may use supporting data such as average purchase rates from the previous year.

        This means that there will no longer be fixed word rates, but as the data is from previous projects, where you and you fellow translators have been involved, the budget should be realistic and fair.

      • Will "first come, first served" be the only option when selecting a linguist for your projects?

        If you are a selected linguist for one of our customers, you can be the only one, or you can be in a pool of linguists depending on the size of the customer. Just like today, our PMs can choose to send a job request directly to you or send it to a few (a maximum of 5-6 linguists) for claiming of the first linguist to respond. There is also an option where the PMs can ask a few linguists and then select one of the linguists that have shown interest in the job.

      • I am concerned about using of two systems, with a lack of clarity of which takes priority or where information should be kept

        We understand that this will be a challenge to begin with, but during the year, when we transfer more and more customers to PD, it will be easier to keep track of your jobs, and in the requests sent by email it will be clearly visible if the job comes from XTRF or PD.

      Problems setting the password?

      If the reset button is greyed out, the password does not match the requirements. The password must reach the following criteria:

      • One lowercase letter
      • One uppercase letter
      • 1 number
      • 8 characters
      • One of the following characters: !@#%^&*()$

      Invoicing, rates and currencies in PD

      You will receive job requests in EUR from PD, and when you have accepted the job, the purchase order will be available in the vendor portal (XTRF) in your local currency. You will also upload your invoices in our current vendor portal XTRF, in the same way as you do today. This setup will be applied also for vendors already charging us in EUR. This solution will be used until PD can handle local currencies.

      We will convert sums for you to your preferred local currency (as set in XTRF) using predefined exchange rates. Each month, we update the exchange rate table with the previous month’s average exchange rates. This means that in e.g. June, you see the average of May’s exchange rates. This way it will be transparent for you how the amount you see in PD is converted.

      • Do I have to negotiate rates and compete in order to get jobs from you now?

        Negotiation is an option that the PM can enable should the terms for the project be suitable, for example when there is no fixed deadline from the customer and there is plenty of time to work on the project, or, the opposite, when a project is very urgent and the deadline is more important than the cost.

        N.B. that negotiation can be for a longer deadline, or for a higher or a lower price depending on the circumstances.

      • Will you decide who gets the job based only on the lowest rate?

        We believe that we get what we pay for, and quality will always be important for us. So will the relationship with our linguists. The qualifications, specialisations and experience a certain linguist have will always be important in our selection of the right linguist for a job.

      • How can I get paid in my local currency, when the only currency available in PD is EUR?

        Today, local currencies are not available in PD, but it is our top priority to develop the system in order to have them there as soon as possible. To start with, however, you will see job requests from PD in EUR.

        As we recognise it is important for you to get paid in local currency, we will import this EUR amount to XTRF, manually convert it to your currency and create the PO based on this.

      • Which exchange rate will be used when converting from EUR?

        On the first working day of the month, we will update the exchange rates. The basis for exchange is the previous month’s average from Sveriges Riksbank. You will be able to find the conversion rates under Invoicing and currencies in PD further up on this page.

        N.B. that this will only be done initially, as the intention is to make all currencies available in PD.

      • How do I invoice you for the jobs I do?

        Payments will be handled from XTRF in the same way as today until the issue with the currencies have been solved in PD, so the last day of every month you will receive you job specification and based on this you can upload your invoice in our vendor portal.

      CAT-tool – TransStudio Online (TSO)

      In Semantix PD, you will be working with translations online, using the free CAT-tool TransStudio Online – TSO. TSO is TransPerfect’s online version of WordFast. It is accessible through Project Director, and it opens the Wordfast application directly in a new web browser tab.

      To start with, only the online version will be made available for our translators, but eventually, you will be able to purchase the desktop version of WordFast for a discounted rate and work offline if you prefer. The files will be pre-populated with TM matches, and, if applicable, MT matches. For now, there will be no post analysis, so already when you accept the job, you will know exactly how much you will get paid.

      Tip

      By default, repetitions aren’t automatically transferred to later segments in the tool. To change this, please go to Preferences > General Preferences > Auto-Propagation and enable it for repetitions.

      MT

      If MT is provided, the payment offered will also be based on an estimated use of MT. To estimate the use of MT, we have many years of statistics for different language combinations, so we know that MT is much more relevant for some language combinations than others, and these calculations will be done based on this information.

      For now, projects will not be subject to post analyses, so you will know up front how much you will get paid.

      And, in the same way as today, you are welcome to contact your PM should you have objections on the MT quality for a specific project.
